Facing the Music: The Challenge of Coordinating a Dynamic Music Collective

Running a dynamic collective of musicians and DJs is like trying to conduct a symphony without a score. The aim was clear - everything should be manageable from a single platform, HubSpot, and synchronize with the rest of the platforms. But the process was more discordant than harmonious.

The collective needed a way to automatically select musicians, considering variables such as location and rating, and send the best possible options to their clients. This was a crucial factor to improve their customer experience and keep the rhythm of their business steady.

Moreover, event organization was another stumbling block. Planning each step of the event was critical to ensure its success. Using Clickup for this purpose brought in another platform into the mix, further complicating the process.

The growing cacophony of managing these multiple, disconnected platforms threatened to overwhelm the harmony of the collective, sparking the need for a smoother, more orchestrated solution.

Symphony of Solutions: Automating the Music Collective's Management

The path to harmony began by automating a series of key processes:

1. Deal Creation - Our automation starts with the creation of deals in HubSpot, the main management platform.

2. Musician Search & Selection- A tailored search by area and rating automatically selects suitable musicians for clients, ensuring an optimal match every time.

3. Offer Creation & Delivery- The automation proceeds to generate an offer, which is directly sent to the client, significantly reducing manual work.

4. Invoice Generation & Delivery - For different event types, advance invoices and final invoices are automatically generated and sent to the client. For events like "Destination Wedding" and "Hochzeit," a 50% down payment invoice is created first, followed by a final invoice for the remaining amount. For other events, the entire invoice is issued at once. All invoices are stored in Dropbox and Hubspot for easy access.

5. Reminder System - To ensure everyone stays on beat, automated reminders are set up for organizers, musicians, and clients.

To make this automation possible, an array of platforms was leveraged: Airtable, Hubspot, ClickUp, Lexoffice, Dropbox, Sendgrid, and Typeform. The common conductor of these platforms was Make.com, effectively synchronizing them to create a harmonized workflow.

Specific triggers were established for important scenarios like creating order confirmations and down payment invoices. For instance, once the "Order Confirmation/Down payment Invoice" field in HubSpot is set to "Create Order Confirmation/Down payment Invoice," and there is a Quotation ID, the system begins its automated sequence, including fetching deal information, generating order confirmations, and saving documents in Dropbox and HubSpot.

Moreover, if the "Angebot erstellen?" field in HubSpot is set to "Yes," another chain of automated actions commences, such as verifying deal amounts, associating contacts, updating Lexoffice, creating draft offers, notifying HubsSpot users, and organizing files in Dropbox.  

The automation process turned dissonance into harmony, creating a synchronized and streamlined system for managing a dynamic music collective.

Hitting the High Notes: Impressive Results from Automation

The effect of the automation was nothing short of transformative. What once was a cacophony of disjointed tasks becoming a well-orchestrated symphony of seamless processes.

Increased Efficiency: With deal creation, musician selection, offer creation, and invoicing automated, the collective's members found they could dedicate their time to nurturing their creative pursuits rather than being entangled in administrative work. They were now able to manage everything from a single platform - HubSpot, which seamlessly synchronized with all other tools.

Improved Customer Experience: The automation of musician selection based on area and rating ensured clients always received optimal recommendations. The quick and efficient delivery of offers and invoices also significantly improved client interaction and satisfaction.

Enhanced Event Planning: Automation also extended to event planning on ClickUp. With each step clearly defined and automatic reminders set, event organization became more structured and less stressful, resulting in more successful and smooth-running events.

Greater Accuracy: The creation of draft offers, the linking of deals to contacts, and the generation of order confirmations and invoices were all automated. This significantly reduced the possibility of human errors and ensured a high level of accuracy in all processes.

In a nutshell, the automation solution turned a jumble of discordant tasks into a harmonious rhythm that drove the collective towards greater success. As a result, the musicians and DJs could strike the right chord with their clients and create unforgettable experiences.
